Why Join the SSCL Board

There are many benefits to becoming a member of the SSCL Board, including:

  • It is a great learning experience and a positive way to meet and work collaboratively with other seniors.
  • You will be contributing to keep SSCL healthy, viable and vibrant.
  • It is a proven way to benefit seniors in our community.
  • Board membership provides you with a great opportunity to have a voice, make a difference and have a real impact on SSCL’s priorities, future direction and programming.
  • No experience is needed! And while some previous Board experience is “nice to have”, no such experience is required to join the SSCL Board – we’ll be happy to orient you to the Board, help you learn how the organization and various Board positions function and provide you with opportunities to contribute where you are most comfortable.  

We are taking several steps to reduce barriers to joining the Board. For example:

  • We plan to reduce the term length for most Board positions from three to two years. (this will require a change to our by-laws, which we will be proposing at our next AGM). 
  • We are contracting with a private individual to take on several of the administrative tasks that are currently carried out by our volunteer Board members to reduce their workloads. 

We are offering new incentives to those who volunteer to join our Board:

  • Board members will be able to register in one class each term free of charge for the duration of time on the Board.
  • We will provide thorough training on the various technologies we use (SmartRec, SharePoint, etc.). 
  • We have created a new, one year “Member at Large” position that will enable interested members to “try out” a Board role without the specific responsibilities and commitments required for the other Board positions. 

SSCL Board Positions

3-year term 

General Information

SSCL Board members commit to a term of 2 or 3 years performing their specific roles, and attend SSCL’s Board Meetings (monthly except July and December) and the Annual General Meeting (AGM), which is held in September.  Board members can expect to spend 2-3 hours per meeting.

Board members also serve on Committees and take turns volunteering at various SSCL events (Winter luncheon, Virtual Winter Gathering Event, Spring Bus Tour, etc.).  Each Board member has defined operational responsibilities including specific tasks and reporting on their activities at meetings.

President/Vice President/Past President Team

  • Incumbents serve for one year each as Vice President, President and Past President, learning the tasks (VP), presiding (Pres) and offering insight and information (Past Pres).
    • The President leads the Board and chairs the monthly board meetings and the AGM.
    • The Vice President’s role is to become familiar with the board, learn about SSCL and support/assist the President as required.
    • The Past President’s role is to provide organizational history, advice, support and assistance to the President and Vice President as required.
  • This structure provides continuity in the leadership team.

Key Responsibilities

  • Develops, leads, assist and prepares recommendations on Board governance, documentation, strategy, organizational priorities, policies, etc.
  • Prepares for and participates in meetings.
  • Serves as members of:
  • Executive Committee(President, Past President, Vice President, Secretary, and Treasurer)
  • Program Committee (President, Past President, Vice President, and Program Manager) - pre-screens and brings recommendations to the Board for proposed course offerings; provides direction to the Program Manager for course offerings, reports to the Board regarding course selections
  • Nomination Committee(President, Past President, and Vice President) - solicits, pre-screens and brings recommendations to the Board for proposed new Board members.
  • Assists with Board special events as required.
  • Other duties, as required. 

President Duties

  • Provides leadership and overall direction to the Board and the organization.
  • Consults/strategizes with Vice President and Past President.
  • Prepares and distributes agenda for each Board meeting.
  • Chairs meetings. 

Vice President Duties:

  • Supports the President and performs the President’s duties when he/she is absent or unable to act.
  • Consults/strategizes with President and Past President. 

Past President Duties:

  • Consults/strategizes with President and Vice President.
  • Provides advice and assistance and fills in for absences as required.
  • Supports the President and VP.
  • At the AGM, the Past President presents the current slate of Board Members and conducts the election of new Board members.  

Qualifications

  • Organizational, leadership and teamwork skills are essential for these positions.
  • Must be familiar with and/or willing to learn SharePoint (online file storage system).
  • Prior Board experience would be an asset.

Key Responsibilities: 

  • Attends and takes minutes of Board meetings and the Annual General Meeting. (2 – 3 hours per meeting)
  • Prepares and circulates draft minutes to Board members and files official minutes online. (3 - 4 hours per month)
  • Records, maintains, organizes, updates and keeps track of other official SSCL documents and records.
  • Assists the Treasurer by providing second approval for payments, primarily at the end of each semester.
  • Updates the list of the new Board members and forwards these to the Program Manager for posting on the U of S website. 
  • Organizes the SSCL’s Archives file and annually prepares and transmits a digital report for University Archives and Special Collections at University of Saskatchewan 

Qualifications

  • Excellent oral/written communication and teamwork skills
  • Must be comfortable with, and/or willing to learn technology including word processing, e-mail and online (cloud-based) file storage system.
  • Prior Board experience would be an asset.

Treasurer

  • Manages and oversees SSCL’s financial affairs in line with good practice and in accordance with its governing documents and legal requirements.
  • Regularly informs the Board of important financial events, trends, and other relevant issues regarding the organization’s financial health to ensure good decision-making.
  • Has overall responsibility for the organization’s finances and provides appropriate oversight to any contracted financial service providers.
  • Time commitment varies throughout the year, with peak activity at the start and end of each term and at year-end.

Key Responsibilities:  

  • Works with the bookkeeper in the externally contracted accounting firm using the online accounting software (currently Xero) to ensure the completeness and accuracy of transactions, and the resulting reports.
  • Develops/implements effective communications processes for Board and management.
  • Controls/processes all financial transactions including deposits and payments of bills; establishes and regularly reviews financial controls to protect SSCL’s assets.
  • Ensures appropriateness/accuracy of accounts and bank reconciliations.
  • Acts as a counter-signatory for organization’s payments.
  • Develops/maintains/retains the organization’s financial records.
  • Prepares/reviews monthly and annual financial and statistical statements, budget, cash flow and financial forecasts, and monitors actual results to budgets/forecasts.
  • Establishes/reviews effective financial systems/measures, internal controls, and procedures and documents same.
  • Works with the contracted bookkeeper to ensure records are adequate and accurate for the year-end compilation or review of annual financial statements.
  • Recommends any changes that might be needed to the bookkeeping and accounting arrangement with the contracted accounting firm.
  • Develops/implements financial, reserves and investment policies.
  • Ensures compliance with all legal and regulatory requirements; keeps current on regulatory reporting changes that affect SSCL and reports to the Board regarding their impact on the organization.

Qualifications:

  • Understanding of and experience with good financial management/reporting practices and of the financial information needed by the Board to support effective decision making.
  • Significant training/experience in accounting; professional designation preferred.
  • Must be comfortable with/willing to learn technology including spreadsheets, electronic accounting (currently Xero online) and word processing software, e-mail, SmartRec online registration system and cloud-based file storage system (SharePoint) (training on SmartRec and SharePoint will be provided).
  • Good organizational and communications skills.
  • Knowledge/experience working with non-profit organizations would be as asset.

Zoom Squad Leader

  • Recruits and trains volunteer Zoom Monitors and Zoom Administrators (Zoom Squad) to support SSCL on-line programming.
  • Works with the Zoom Squad to ensure that Zoom Monitors and Administrators are assigned to each course and that all on-line courses are supported throughout each term.
  • Oversees/Coordinates the set-up of SSCL on-line classes in Zoom; ensures that Zoom is configured to send weekly class reminders and Zoom links to registered students.
  • Arranges for Zoom training sessions for new instructors with university IT staff.
  • Serves on the Zoom Squad as either an Administrator or Monitor or both (optional)
  • Collates online course evaluations/comments and submits to the Program Director and Chairperson of the SSCL Board.

  Qualifications 

  • Excellent organizational, leadership, communication and teamwork skills
  • Must be comfortable working with, and/or willing to learn a variety of technology platforms including Zoom, SmartRec, Gmail, SharePoint (training will be provided)
  • Prior Board experience would be an asset.   

Other Zoom Squad Functions

Zoom Administrators (Volunteer positions, but are not Board members) - Key responsibilities of these positions include:

  • sets up the course webinar on Zoom
  • sends out an initial and reminder email to course registrants on SmartRec with the webinar link to enroll on Zoom
  • checks and ensures that all students are registered in both SmartRec and Zoom
  • provides the instructor with information about how the Zoom webinars will run
  • sends out any materials from the instructor to the registrants
  • responds to any inquiries about SmartRec registration or Zoom enrollment
  • Zoom Administrators need to be comfortable working with technology and a variety of platforms, especially Zoom, Smart Rec and Gmail (training is provided by SSCL).

Zoom Monitors (Volunteer positions, but are not Board members) - Key responsibilities of these positions include:

  • opens the webinar in Zoom each week a half hour before the class starts
  • checks that everyone who joins the webinar is registered on Amilia; removes anyone who is not registered for the course
  • monitors Zoom Chat and the ssclmonitors email during the class and responds to technical questions
  • monitors Q&A and moves questions to Answered once the instructor has responded
  • unmutes participants if the instructor wants oral questions
  • Zoom Monitors need to be comfortable working with technology, especially Zoom (training is provided by SSCL)
  • NOTE: Zoom monitors are able to take the course(s) they are supporting AT NO COST

  • The Outreach Coordinator oversees SSCL’s promotional, advertising and outreach activities to the community, emails, prints and distributes program brochures, handbills and posters each term, promotes SSCL courses to seniors’ living facilities, organizes SSCL’s participation at various promotional/invited events, coordinates SSCL Special Events.
  • Prints the approved Program Brochure, Poster and Handbill each term and distributes these to SSCL members without computers.
  • Advertises Fall, Winter and Spring Programs via email notices and/or delivery of hard copy posters to key locations in Saskatoon.
  • Promotes SSCL to seniors’ living facilities including attending facilities to explain SSCL programs/courses, history, fees and support. Keeps a list of the facilities of interest and sends handbills/brochures electronically to these facilities each term.
  • Organizes SSCL’s participation at invited events (e.g. Saskatoon Council on Aging’s Spotlight on Seniors in October, Elim Health Fair, the McLure Seniors Health Fair, etc.).
  • Coordinates the planning of SSCL Special Events (e.g. Christmas Luncheon, Virtual Winter Gathering and Spring Bus Tour). Directs and works with SSCL Event Volunteers to plan and manage these events.

  • Must be comfortable with and/or willing to learn technology including word processing, e-mail and online (cloud-based) file storage system.

  • Responds to members’ questions and provides support and guidance regarding the above; refers information/inquiries to the Registration Team and/or other Board members when necessary/appropriate.
  • Works closely with Outreach Coordinator to promote/participate in SSCL activities at various informational/promotional events (Spotlight on Seniors, Elim Health Fair, McLure Seniors Health Fair. etc.), as well as at various seniors’ living facilities, etc.
