Procedures for Thesis Defence

When a graduate student is approaching the completion of his or her program, there are a number of requirements which must be met. To streamline the process and to insure that nothing is omitted, the department would like your cooperation in implementing the following procedures:

MA Defences

  1. The supervisor arranges for the Advisory Committee to meet and agree that the thesis is ready for the oral examination, as required by CGSR
  2. The supervisor provides information to the Graduate Secretary for the memo from the CGSR website “Memo to Schedule Master’s Defence” for the approval of the Graduate Chair appointing an external examiner. CGSR must be notified a minimum of three weeks prior to the desired oral defence dat
  3. The supervisor informs the Graduate Secretary of the date and time of the oral examination and she will book a room and post and email this information
  4. The student will email the Graduate Secretary their thesis in pdf format for printing and copying
  5. The Graduate Secretary will create the necessary forms for the defence
  6. Following a successful defense, it is the responsibility of the student to apply for graduation and upload their thesis to the ETD site

PhD Defences

  1. The supervisor arranges for the Advisory Committee to meet and agree that the thesis is ready for the oral examination, as required by CGSR
  2. The supervisor advises the Graduate Secretary as soon as the student's Advisory Committee determines the student's thesis is ready for defense.  She fills out form GSR 300.1: Recommendation for Examination of the Ph.D. Thesis and Award of the Ph.D. Degree for CGSR.  The supervisor provides her with a CV, address, and rationale for the first of choice of External Examiner to be submitted to the CGSR four weeks prior to the defence
  3. The supervisor informs the Graduate Secretary of the date and time of the oral examination and she will book a room and post and email this information.
  4. The student emails the Graduate Secretary their thesis in pdf format for printing and copying
  5. At least seven days prior to their defence, students must provide a Dissertation Summary to a CGSR Programs Advisor
  6. Following a successful defense, it is the responsibility of the student to apply for graduation and upload their thesis to the ETD site.

Note: It is important that the student have no contact with the external examiner prior to the defense
